InteScene for Production coordinators

InteScene turns the coordinator's switchboard job into one connected workspace. A company library lets you reuse vetted cast, crew, locations and gear across every project instead of re-typing contacts, the Document Manager keeps every contract, permit and release with Draft, Ready, Sent and Signed status, and schedule-aware logistics tells you person by person who still needs a flight or room. Catering counts its own headcount from the call sheet and flags life-threatening allergies. The Document Manager, logistics and catering live on the Production plan at GBP 20 a month, while Daily Dispatch, which emails each crew member exactly the reports their role needs, is a Studio-tier feature at GBP 25 a month, and both paid tiers include a two-week free trial. Being the human switchboard, re-entering the same crew every show, chasing paperwork status, and collating travel, rooms and catering numbers by hand.

Project database and company library

Enter a person or resource once and reuse vetted cast, crew, locations and gear across every project, instead of re-typing the same contacts each show. Linking a project to a production company inherits its team and shared catalogue, so you onboard people once and reuse them everywhere.

Document Manager

Keep every contract, permit, release and call sheet in one categorised place with Draft, Ready, Sent and Signed status tracking and a Signed or Unsigned filter, each document linked to the person, item or location it concerns. A built-in collaborative word processor lets you draft and co-edit documents live, with export to PDF, Word, HTML, Markdown or plain text.

Schedule-aware logistics

The travel and accommodation planner tells you, person by person, who still needs a flight or a room based on the real schedule, marking each Covered, Partial or Missing and recommending the exact nights to book. It flags when a booking goes stale because dates moved, including the case where a flight lands after someone's first call.

Catering that counts itself

Headcount is derived automatically from the call sheet, or the day's breakdown if no sheet exists yet, split into Cast, Crew and Extras, then turned into a caterer-ready order sheet. Life-threatening allergies are auto-flagged and sorted to the top with careful word matching, and the cost rolls into the budget.

Daily Dispatch and distribution

Send each crew member exactly the reports relevant to their role in one batch of personalised emails, and track who received which issued call-sheet version. Personal contact details can be redacted, with each recipient seeing only their own, so distribution is fast and private. Daily Dispatch is a Studio-tier feature.

Frequently asked questions

Can I reuse the same crew and contacts across multiple productions?

Yes. You enter a person or resource once into the project database, and a shared production-company library lets vetted cast, crew, locations and gear carry across every project. Linking a project to a production company inherits that company's team and catalogue, so you onboard your people once and reuse them show after show instead of re-typing contacts each time.

How does InteScene help me track travel and accommodation?

The logistics suite is schedule-aware, so it works out person by person who still needs a flight or a room from the real shooting schedule, marking each one Covered, Partial or Missing and recommending the exact nights to book. Partial means something like a flight landing after a person's first call, and it flags bookings that go stale when dates move, so you are not collating it by hand.

Which plan includes the coordinator tools?

The Document Manager, Logistics and Transport and Catering are Production-tier tools, available on the Production plan at GBP 20 a month and also included on Studio at GBP 25 a month. Daily Dispatch is a Studio-tier feature, so it requires the Studio plan. The project database and company library are available on every plan. Each paid plan comes with a two-week free trial.
