How to make a call sheet
To make a call sheet in InteScene, open the Reports area, choose the call sheet report and select a shoot day, and the document assembles itself from your schedule, breakdown and contacts, complete with call and meal times, full cast and scene lists, crew by department, locations, sunrise and sunset, the weather forecast and the nearest hospital. Every field is hand-editable and edits survive a refresh, and you can redact personal contact details, add QR check-in codes, send per-recipient personalised PDFs and advance the revision colour when plans change.
Build your schedule and breakdown first
A call sheet generates from data you have already entered, so it relies on your scheduled shoot day and your script breakdown. With scenes assigned to days and elements catalogued, the call sheet has the cast, scenes, locations and crew it needs to fill itself in, rather than you re-keying them in Word or Excel.
Open Reports and pick the call sheet for a shoot day
Go to the Reports, Call Sheets and Sides area, choose the call sheet from the categorised report rail, and select the shoot day you want. The document assembles itself, pulling the day's schedule, contacts, sunrise and sunset, weather forecast, call and meal times, full cast list, scene list, crew by department, locations, nearest hospital and safety notes.
Edit and lay out the call sheet
Every field is hand-editable, and your edits survive a refresh. Use the modular drag-and-drop layout editor to arrange the sheet, and save reusable templates so future days start from your preferred layout. Because the source data is live, the sheet stays current when the schedule shifts.
Redact and personalise for each recipient
Before sending, redact personal phones, emails and home addresses. InteScene can produce per-recipient personalised PDFs that carry a name watermark for leak tracing and an unmask-own-contact option, so each person sees only their own details while everyone else's stay private.
Add QR check-in and distribute
Add a personal QR check-in code so crew can clock themselves in by scanning their own call-sheet PDF, no app or login required. Then distribute: Daily Dispatch can email each crew member exactly the reports their role needs in one personalised email.
Version it as plans change
When the day changes and you re-send, InteScene advances the revision colour following real production convention (White, Blue, Pink and on), adds a REVISED banner and keeps an immutable snapshot of each issued version, so everyone knows which call sheet is current.
Frequently asked questions
Where does the call sheet information come from?
The call sheet assembles itself from data already in your project: the day's schedule and breakdown, your contacts, the locations, plus sunrise, sunset and the weather forecast for the day. Because it is generated from one connected dataset, it stays current when the schedule shifts instead of being rebuilt by hand each night.
Can I hide cast and crew personal details before sending?
Yes. InteScene includes redaction to hide personal phones, emails and home addresses before distribution, and it can produce per-recipient personalised PDFs where each person sees only their own contact details, with everyone else's masked. Each personalised PDF can also carry a name watermark for leak tracing.
How are call sheet revisions handled when the plan changes?
Re-sending the same shoot day advances the revision colour following real production convention (White, Blue, Pink and so on), adds a REVISED banner, and stores an immutable snapshot of each issued version. This gives you version control so the crew always knows which call sheet is the current one.
